Originally founded in 1954, European Movement Ireland is a not-for-profit voluntary membership based civil society organisation working to make the connection between Irish people and the EU.  With a dynamic and enthusiastic team, we run a series of campaigns, programmes and projects in a fast-paced and committed environment.  Right now, we are looking for a Finance and Operations Manager who has a diverse range of skills, someone who not only has great organisational ability, but is also excited to be involved in our organisation and the mission to connect Irish citizens with the EU.

Job purpose

The Finance and Operations Manager will support the effective day to day running of the office as well as the overall operations of the organisation. Core areas of responsibility will include managing all finance related matters, membership and renewals, HR administration and office management activities.

We are looking for an individual who has a very strong work ethic, takes ownership, meets deadlines and contributes to the team in a progressive and positive way, is ambitious to seek out smart ways of working, improve processes, bring value to the organisation and supports the Chief Executive and the team in delivering our goals and objectives on a daily basis.

This is a very important role within our organisation, where we will rely on your organisational skills to ensure the office runs very smoothly.  While you will work closely with the CEO and other team members to provide assistance to deliver our ambitious range of events annually, you will contribute hugely to the workplace being highly organised and a great place to work.

You will be working closely with all of the key players in our organisation from the our office sub-contractors, our accountants and other partners, to the CEO and the Board of Directors and other sub-committees, but in particular all your work colleagues who will rely on you to manage all the office and administration issues.

Key objectives and main responsibilities

Finance

  • Book keeping duties and preparation of accurate financial records using SAGE and other software
  • Develop and maintain accurate and transparent records and systems
  • Monitor spending against budget and recommend action as appropriate
  • Prepare monthly reports and annual accounts
  • Develop and provide financial reports for the Board and funders in line with their requirements
  • Responsible for payroll; handle all payroll preparation, staff payments and staff queries
  • Liaise with Revenue Commissioners and manage the company’s ROS inputs
  • Engage with the CEO in filing of appropriate returns
  • Support and assist EM Ireland’s Auditors and provide information to them for preparation of annual audit
  • Instruct and monitor the financial transactions of EM Ireland
  • Support the work of the Audit Committee and provide financial reports for meetings
  • Administer Payroll for all staff, external contractors and deal with queries re: same (using Micropay)
  • Manage and liaise with all suppliers

Office Management

  • Provide for the smooth and effective running of the organisation through managing EM Ireland’s office, facilities and infrastructure
  • Organise meetings, conferences and events
  • Provide administrative support to the Executive Director
  • Ensure that procedures allow for ready delivery of accurate management information
  • Act in accordance with the objectives and ethos of European Movement Ireland
  • Undertake other duties as may be reasonably required from time to time

Membership Administration

  • Using Salesforce, in collaboration with other team members, manage all membership administration and issuing of annual invoices to European Movement Ireland’s membership base

Funding

  • In collaboration with the CEO, write and prepare reports to funders outlining the activities undertaken as committed to in funding applications
  • Work with funders to agree evaluation mechanisms, and report back to funders
  • Identify and complete funding applications
  • Support the development of Sustainability Strategy for European Movement Ireland

HR Administration

  • Ensure effective policies, procedures are in place and up to date at all times
  • Maintain accurate and up to date records as required by management
  • Identify and source staff training programmes to match needs identified by the management team
  • Ensure that the organisation complies fully with health and safety legislation and practices

Experience and knowledge

  • General office management experience and experience in working as part of a collaborative team
  • Accounting qualification to Accounting Technician level or similar
  • Knowledge of Sage Software packages crucial
  • Administration of payroll using Micropay welcome
  • Knowledge of financial regulations particularly relating to tax and audit requirements
  • Knowledge and user experience of Salesforce vital
  • Good numeracy skills including high level of accuracy with strong attention to detail
  • Understanding of non-governmental organisations and the financial environment in which they operate preferable
  • Experience of drafting and managing a budget for a small organisation
  • Experience in project management and event organisation

  • Enthusiastic, resourceful and capable of operating well in a busy office environment reporting to C-level management
  • Excellent interpersonal and communication skills

Terms: This is a full-time role with salary scale in the mid €30+k range, dependent on experience and qualifications of the successful candidate.

Location: Based in Dublin at European Movement Ireland offices.

Relationships: Reporting to the Executive Director, the Finance & Operations Manager will work closely with the other team members and liaise with the Board and Audit committee in particular.
